Download ServiceTRAK Maintenance Update (Version 5.5307) ~13 Megabytes (Jan
5, 2005)
in a single file Setupex.exe.
Download into a directory. Once downloaded, double-click the Setupex.exe file to begin the
installation. Follow the setup directions and install ServiceTRAK directly over your
previous installation of ServiceTRAK.
Updates will not work unless a valid
registered copy of the product has been installed previously on your computer. All updates
are cumulative, meaning you get all updates in the most current download. Account number
picklists such as that in the Bank Account modules, can now be set to sort by the account
description. See new checkbox on the General Tab of the Lists and Default Settings module
called "Sort chart accounts by its description in picklists".

This version contains.
1) A complete change to version 8 of the development environment, although
attempted, proved to cause problems with some of the controls, such as
scheduling. Therefore, we have begun the changes that will be incorporated when the problems with the controls are determined. For now,
we have backed out the version 8 runtime requirements, and therefore you
will see odd colorings on some labels from time to time. The general
functionality, however should be fine. If you notice any problems, since
the program had to be recompiled for version 7, please let us know.
2) This version also
contains the Ability to add your own History records in the Client History
tab. The automatic entries still include the invoice, workorder,
receivables and
schedule entries. The ability to add your own provides greater
flexibility.
3) Another feature sums up the number of hits for a particular marketing
campaign, and places that information for you in the marketing module. It
includes those invoices that were the outcome of particular campaigns.
You can also tag or mark a particular merge letter as the "Thank
You" letter for invoices. When invoices are printed, you are offered
the opportunity to also generate a merge of your "Thank You"
letter for the invoices. See the help file for details.
Another new category has been added to ServiceTRAK reports. The category
is called Invoices, and the first report to be added to this category is
called
Invoice Revenues For Period, providing information directly from the
invoice table on the totals, taxes, subtotals with their respective
invoice numbers,
company, and client first and last name.The report is sorted by the amount
of the invoice with a total for all invoices for the period at the end of
the report. As always, we are anxious to hear from our clients for reports
they would like to see in the system.
Although version 8 gave us the capability to allow edit fields to support
hyperlinks, version 7 does not provide this. Therefore as soon as we can
(as we have explained above) work out the issues with controls and version
8, support of hyperlinks in edit fields can be expected. We apologize for
the inconvenience this may have caused.
What's to come. ServiceTRAK will continue to evolve with the goal to
communicate with other applications, as well as XML support

This version contains.
1) A utility called "Repair Client History" that will sync up the customer
history section of the client module with invoices and work orders
performed for that client. This allows customers that have had ServiceTRAK
since before the Client History tab was available, to now update this
windows with all invoice and work order transaction history.
2) A report called "Client Workorders Generated for Period" (under Clients
section of Report Module) that will provide for a date range, all the work
orders generated for a client for which an invoice was never generated.
This will provide the information needed to track clients that asked for,
and were provided with an estimate, but never had the work performed
(which would have led to a generated or associated invoice).
3) A utility called "Update Marketing Lead Count" that will update the
number of leads section of the Marketing module for a particular campaign.
This supplements new functionality that updates the number of leads for a
campaign, based on the number of work orders or estimates that were
generated and then associated with that campaign.
4) A new feature added to the invoice module, that will allow a one of the
merge letter templates to be merged with information for the client
associated with the invoice, so that a letter can be generated for the
customer the same time that an invoice is generated. In the
Advertising->Merge Templates tab of the "Lists and Default Settings"
module, you there is now a checkbox called "Invoice Letter Template".
Create you generic template to be associated with invoices as you would
for any merge letter. Then check this checkbox. This functionality will
not become active until you have quit ServiceTRAK and reentered the
program. One final step. When you go to print an invoice, there will be a
new checkbox on the Invoice print dialog. This checkbox will output the
invoice clients to a file that will be brought up in the ServiceTRAK
"Merge Viewer". You can print your letters for the invoice(s) from this
module, like all other merge letters. You can use the functionality of
this module to save the file off for later printing, edit each individual
letter as desired, exclude or include letters, etc. Unfortunately, there
are no help file updates that explain this functionality. If you

Improvements have been made in the schedule report code so that routes
without associated workorders print properly. Reports that require both
your business street one and street two on the invoice and workorders - at
the top of the invoice or workorder - (not custom or using a graphic),
have been placed on the ftp site at the following location:
ftp://www.easdg.com/pub/UK/Britishreports.zip
For those
that didn't upgrade to 5.5304 these reports can be used in lui of those.
You should always perform a back of your database prior to any update, but
in particular when reports are changed. Back up your database using the
update utility provided with ServiceTRAK prior to unzipping these reports
into your database directory. You are encouraged to make a backup of your
servicetrak.exe file in your \ServiceTRAK directory (copy it to another
folder or use a compression utility such as Winzip© prior to running the
setup for this update.

Additional subtab added under Field Formats in the Lists and Default
Settings module called Invoices/Workorders that provides formatting of
numbers specific to the General page of the work order or invoice detail
grid entries, such as quantity (qty). units, price, discount, etc allowing
the number of decimal places to be controlled and the thousands separators
to be controlled (regional separator types set in the system are supported
in the output and display of these modules and the reports, but commas
must be used in the number mask in the Lists and Default Settings Module -
for more information see the ServiceTRAK Help file under Chapter 2 -
Setting Up ServiceTRAK:Lists and Default Settings Module:Field Formats
Tab:Invoices/Workorders Subtab ). You take advantage of this option for
existing databases, you will need to request new invoice and work order
report files from EASDG. Please sent requests by email to cliffr@easdg.com
and the files will be returned by email. You will then need to copy the
new report files into your database directory. This option was implemented
as a request by 1st Class Carpet Care (Christopher Shadbolt) of Aukland,
New Zealand.
New option provided for
the General Ledger Detail report that allows the user to include or
exclude bank account memo information in this report. Not including this
information (the default) provides better performance, however during tax
time when memo information would be valuable on these printouts, this
option is available. This feature was needed to restore the original
performance of this report for those not needing the extra information and
was brought to our attention about Steve Killough, Accountant for Process
Master of Jacksonville, Florida.

The default percentage for technicians added to the Technicians Tab of either the Work Order or the Invoice module is now 0% instead of 20% only if the Technician's default commission is set to 0% in the Technician's Module. The program will still set the commission percentage of Technicians added to the Workorder to that commission set in the Technician's module.

The Financial - General Ledger Detail and Financial - General Ledger Summary now allow you to save the last selected chart account numbers. This allows you to print subsequent reports without having to reselect the same accounts numbers each time. The selections are unique to the user logged into the system so that each user can have their own set of selected accounts.

This version includes an update of the development program used to create ServiceTRAK. You will notice that the update file is a little larger than usual. This is because some new files need to be installed to support the new version.
The new contact search interface has been added to the Contact Module. It is the same interface being introduced to all modules that search for clients. It is initiated by clicking the button with the binoculars, the same as all of the other modules where either client or contact search is available. We've left the Contact Advanced Search dialog available (it appears as a separate window). The
advantage of the Contact Advanced Search dialog is that you can actually close the Contacts window and just have the Contact Advanced Search dialog available to locate contacts when desired. When contacts are displayed they come up in their own window as always so this makes for a handy feature.
Scrolling through the clients in either the Client Module or the Receivables Module can be accomplished by using the Navigation Toolbar's First, Prior, Next and Last buttons. Data is displayed in the order it was added to the system, not in alphabetical order which helps with performance but may be a little more difficult to locate clients in this manner. To locate specific clients use the new locate feature described in the previous paragraph.
Additional checking has been included for detection of general journal entries not being created from new invoices. This may occur if there are conflicts between locked records on the network. The user is now informed that the general journal entries for the invoice were not created and asked to save the invoice again.
Performance improvements have been made in the Client module. Options are now available in the Lists and Default Settings module under the "Scheduling" Tab. Under the "Other" subtab is the option to turn off the "View Scheduling" part of the scheduling module, as well as the "Recurring Scheduling" feature. This provides for better performance in high usage environments.
Corrections have been made to the Open Accounts report (under the Client category) where accounts with negative balances were not being included. Corrections have been made to the Client Sales Rep Invoice Revenue Report (under Technicians). Payments collected were not being reported if the client had no invoices within the same period. An additional sort option (By Technician) has been added to the Daily Workorder Log report.

The ability to add
user-definable schedule entries. See ServiceTRAK Help under Chapter 10 - Schedule module (ServiceTRAK Help File).
ServiceTRAK now has stronger integration between scheduling and other modules, such
as the Work Order and Client modules, as well as the ability to create task entries and
reminders from the Schedule Entry window. Last Work Order date is now available from the
Client module along with the last Work Order Number. Administrators can now delete Client
History information in the Client Module's History Tab.

Some additional refinements
have been made to the Merge features as well as integration with the Task and Client
modules. The "General Journal: For Period" Report is now available by Date
or by Journal Number. A bug involving not being able to view detail of the General Journal
after running a General Ledger report has been fixed.

New Merge Feature. Set up
your merge templates in the Lists and Default Settings module, Advertising Tab, Merge
Templates. Create either letter templates or two types of Postcard templates (Avery #5389
or Avery #8387). Insert placeholders such as client name, address or other available
information into the template. Then select any client-based report. Proceed as you
normally would with the report until you get to the Report Destination dialog. Select the
new destination option "Merge" which displays a second selection combobox that
has the list of your available templates from which to choose. Select the desired
template, then continue by clicking OK. You will then be presented with the new Merge
Viewer module which allows you to see all the merged documents, preview them, save them
off to a file or print them.
Client notes have a new datetime stamp
feature which identifies a note entry with the person who entered it and the date and time
of the entry. In addition, there is a report available that will print your client notes
from the Notes tab of the Client module.

The Work Order/Estimate
module now has the ability to create a duplicate work order for a client. Prior to this
version, only Invoices could be duplicated and the Work Order module was limited to
creating an invoice from an existing work order. Now, you will see a set of three buttons
on the upper right-hand side of the Work Order module's "Detail" tab. They are
from left to right, 1) Print the work order, 2) Copy the work order to the invoice module,
and 3) Duplicate the current work order. This will assist in making and scheduling work
orders for recurring types of work.

There have been a number of
improvements for this version and one bug fix dealing with client history records not
being created. It will require that you update your production databases.
There are now two forms of workorders, one for estimates and one for work orders. The
print discount checkbox on the Work Order module, has been changed to "Print
Estimate". When this is selected the work order module will print an estimate
(entitled ESTIMATE and including line item costs and totals). When unchecked, a Work Order
(containing no costs information) will be printed. In order to take advantage of this
option you will need to Download Revised Reports Zip file and unzip it's contents in your production
database directory. WARNING - If are
using a custom work order report created by EASDG, do not download the revised reports.
Also, we have added a number of utilities
to this update that can be used for obtaining support from EASDG. VNC Viewer and the setup
file for VNC Server are installed on your computer and can be used by EASDG to connect to
your computer over the internet if you have a suitable internet connection. Should the
need arise, EASDG support will provide instructions on how to install and set up VNC
Server on your computer. VNC Viewer needs no special installation and can be used for
connection to EASDG to so that a demo can be displayed or instruction given over the
internet. Also installed on your computer is the setup file for FTP Explorer which can be
used for uploading and downloading files from the EASDG FTP site. Also the setup
file for WinZip95 is also installed on your computer. Winzip can be installed to provide
the ability to zip/unzip files for sending files or receiving files from EASDG.
Instructions on how to install VNC Server, FTP Explorer and Winzip95 will be provided by
EASDG over the phone, should the need arise where these utilities should be utilized.
A suitable internet connection is required for VNC Viewer, VNC Server and FTP
Explorer.

Added a field in the Client
Module's Note tab into which you can put recurring information to appear on the associated
client's Work Orders. This eliminates the need of putting the information on each
generated work order manually. Also, a feature was added to the right-click menu for the
Input Schedule Module that provides the capability of editing technicians for the
scheduled work order, without having to go into the Work Order Module itself and selecting
it's Technician's Tab. The right-click menu option is available when you right-click on
the time-range portion of a schedule entry and is called "Edit Technician's
Commissions". A dialog will
appear with any existing entries and will allow you to add, edit or delete technicians and
their commission settings associated the workorder. This version will require the Update
utility to be run against production databases. Also, in order to take advantage of the
recurring work order information, you will need to update your work order reports by
downloading the revised reports and extracting them into your production database
directory(s) - Download Revised
Reports Zip file WARNING. If you have custom reports created for you by EASDG, please
contact EASDG before you overwrite any existing report with a revised one from our site.

Default Settings on General Tab. We've added a checkbox called "Do not alert for year
end and month end commts". Setting this option on, by checking the associated
checkbox will eliminate the alerts for the month end and year end commits. This revision
also includes improvements in the Contact's module Advanced Search dialog. This revisions
will necessitate the running of the Update utility against your production databases.

Added an Advanced Search
dialog to the Contacts module allowing the user to search for contacts by company, first
name, last name, street, city, state, zip, phone and a new field called callback date. A
new field has been added to the contact window that comes up for each contact that allows
the entry of a callback date. This in conjunction with the callback date on the advanced
search dialog, allows the searching for contacts on that date.
The Advanced Search Dialog has the following capabilities.
Allows the bringing up of contact windows for all found contacts
if desired (every found contact in picklist) or
Allows the bringing up of a contact window for just the
currently selected contact (in picklist)
Allows the printing of all found contacts including their export
to an excel file, dbf file or other delimited formats

output work orders in their schedule route (ALPHA) order, providing for easier organizing
of route work orders. Provided footer text on Statement reports, the same as previously
possible for both Work Orders and Invoices. Fixed the ability to add a referral person's
information for an invoice or work order under the Advertising tab. Income Journal -
Detail now prints the invoice numbers. Added a utility to repair last invoice and last
workorder information in the Client module. This utility is RepairLstInv.exe and can be
found in the ServiceTRAK directory. Run by double-clicking the file, then choosing the
database upon which you want to perform the repair. No version change with this build.

rounding in invoices and workorder taxes, and error "unable to write to general
journal". In addition there was
a problem writing the proper invoice or work order number to the client record that was
resolved.

Fixed problem with
American Express Card receivable transactions. This required the widening of a field,
therefore it will be necessary to run the Update utility on production databases. Fixed
problem with client addresses not appearing in invoice and workorder reports when printing
for a date range. This required changes to the invoice and work order reports. It will be
necessary to download these reports in a self extracting zip file in the following link
and once extracted into a directory on your hard drive, to copy them into your production
database directory. The self extracting zip file is called NewWorkOrderInvoice.exe and contains the following
files: resinv1.frx, resinv1.frt, resinv2.frx, resinv2.frt, workordr.frx, workordr.frt,
workordr2.frx and workordr2.frt. These new files must be copied into your production
database directory or you will receive errors when trying to run invoice or work order
reports after installing the new version of ServiceTRAK.

Work was done to
rectify a rounding error in invoice taxes which caused differing amounts to appear between
the invoice
total and receivables totals. In addition a fix has been applied to a problem in the
Advertising Statistical report. A new version of the report will be available in the
\SERVICETRAK\DEFAULT directory after you have run the update installation. To use the new
version of the report in your production database(s), copy the adstats.frx and adstats.frt
files from the \DEFAULT directory into the directory or directories containing your
production database(s). If you are unsure how to do this, please feel free to give us a

client module loading and the creating of work orders. There is no need to run the Update
utility on production databases of version 5.5253 since to database structure changes have
been introduced into this version. However, if you are updating from a version prior to
5.5253, the Update utility will need to be run against production databases prior to the
use of the new servicetrak executable.

A new feature was
added to the Lists and Default Settings general tab allowing an administrator to disable
the ability of new cities to be added in the combobox in the Client tab of the Client
module. Then checked, this feature makes the combobox a readonly list of the existing
cities found in the Client table. Another field was added to the Client module for a
Cellular phone number.

New features were added to this update to provide faster
loading of systems with large client databases. A new option on the General Tab of the
Lists and Default Settings module 'Auto Query OFF for Client Lists' provides less querying
of client file unless changes are made. Faster loading and saving of Contact module.
Added feature - New tab on Lists and Defaults Settings module called 'Module Settings'
allows the administrator to remove modules from toolbar and screen menu for less clutter.
New feature - Lists and Default Settings module only available for administrator.
New features added to Client module include a new flag called 'See Notes' that displays
the fields in green if checked. 'Bad Debt' displays fields in red and Undesireable'
displays fields in orange for better identification. New field added to client module that
provides the tracking of a 'Map Code' for the client. Download new Invoice and WorkOrder
reports (copy reports to your
database directory). WorkOrder report now includes client's Map Code and street fields
have been enlarged. Street2 and Contact now print on WorkOrder report(s).
